A lead tracker that keeps itself current
A lead tracker is one list of the people who might buy from you: who they are, how well they fit, where each conversation stands, and the next step.
What columns should a lead tracker have?
These eight cover a small sales process end to end. Copy them into a spreadsheet and you can start tracking today.
| Column | What it holds |
|---|---|
| Lead | The person, their role, and how to reach them. |
| Company | Who they work for, and what that company does. |
| Source | Where the lead came from: referral, inbound, event, outreach. |
| Fit | How closely they match the customers you win, and why. |
| Stage | New, contacted, talking, proposal, won, or lost. |
| Last touch | The date and content of the last message either way. |
| Next step | The one action that moves it forward, and by when. |
| Value | What the deal is worth if it closes. |
The column most trackers leave out is Fit. Without it every lead looks equally worth chasing, and the time goes to whoever replied last rather than whoever is most likely to buy.
What should the stages be?
Few, and defined by something that happened rather than a feeling. Contacted means you sent something. Talking means they replied. Proposal means they have a price. Won and lost are final. A lead with no next step is not in a stage; it is stalled, and the tracker should say so.
Why do lead trackers stop being useful?
Researching a lead takes longer than adding one, so the rows fill up with names and nothing else. The fit is guessed, the last touch is out of date, and the list becomes a record of who you meant to follow up with.
What does hedwigAI do differently?
You describe the tracker in a sentence and it gets built, including the part that usually gets skipped: researching each lead's company and writing down why they fit, with the source for every claim. Point it at your own files in Google Drive, Dropbox, OneDrive or SharePoint and it works from those too.
It refreshes on the cadence you set and tells you what changed. Share it as a link that always shows the current version, change it by asking in plain English, and export it as XLSX whenever you want a copy.
How do I start one?
This is the whole brief:
“keep a tracker of my leads: who they are, how well they fit, where each one stands, and the next step”
Start with this lineWhat does it cost?
You pay for the runs a workbook takes to research, build and refresh itself, not per seat. Your first workbook is covered by $5 of usage credit. How pricing works.
